Koa's Mobile Bar operates as a dry-bar service: you purchase the alcohol, while Koa's provides the agreed bar service, planning, setup and package supplies. That model gives the host control over brands and purchasing, but it also means the shopping list needs to be intentional.
A good bar shopping list is not simply “beer, wine and liquor.” It connects your guest count, service hours and actual menu to the quantities and supporting supplies required to serve those drinks.
Step 1: Decide what the bar is actually serving
Start by choosing the service format before choosing bottle quantities. Common wedding-bar structures include:
- Beer and wine only.
- Beer, wine and one or two signature cocktails.
- Beer, wine, signature drinks and a limited set of simple mixed cocktails.
- A broader cocktail menu for events where beverage service is a major feature.
The broader the menu, the more individual products must be purchased, transported, chilled, opened, stored and eventually taken home.
Step 2: Estimate drinking guests—not just total guests
Total attendance is important, but children, non-drinkers and guests who prefer zero-proof beverages should not be treated as alcohol consumers. Separating the guest list into rough beverage groups can make purchasing more realistic.

Step 3: Build cocktails from shared ingredients when possible
Two signature drinks do not need two completely separate inventories. If cocktails share a citrus component, mixer or garnish, the bar can be easier to stock and faster to operate.
For example, designing both drinks around overlapping citrus or one shared syrup can reduce the number of backup containers that have to live behind the bar. That matters at a mobile event where every supply has to be transported and staged.
Step 4: Do not forget the non-alcoholic half of the bar
Even when the client buys the alcohol, the beverage experience still depends on everything around it: mixers, juices, soda, tonic, water, garnishes, ice and service supplies.

Step 5: Choose brands after the menu is set
Brand decisions are easier after you know which spirits are actually being used. A bottle purchased for one obscure cocktail can be expensive and create leftovers if only a handful of guests order that drink.
For many events, it is more efficient to choose reliable base spirits that work across the planned menu and reserve premium or specialty bottles for a signature drink where the difference will be noticeable.
Step 6: Plan transport and storage
Purchasing is only half the job. You also need a plan for getting unopened alcohol to the venue, keeping appropriate beverages chilled, staging backup inventory near the bar and removing leftovers after the event.
Ask the venue whether alcohol can be delivered before the event, whether secure storage is available and who is responsible for removing remaining product at the end of the night.

- Final or near-final guest count.
- Estimated number of drinking-age guests.
- Number of service hours.
- Beer, wine and cocktail menu.
- Signature drink recipes.
- Zero-proof beverage plan.
- What Koa's is supplying in your selected package.
- Venue storage and delivery rules.
- Who is transporting and removing alcohol.
